Terms of Use

These terms apply whenever you order food or drink from Norman's Coffee through our website or app, whether for collection or for table service at an event or venue. Please read them before placing an order. By ticking the acceptance box at checkout, you agree to be bound by them.

1. Who we are

Norman's Coffee is operated by Norman's Coffee Ltd (Company Number 16829381) ("we", "us", "our"), based in Barnham, West Sussex, England. Our registered address is 29 Horseshoe Way, Yapton, West Sussex, BN18 0XR.

2. Agreement to these terms

Placing an order through our site means you agree to these Terms of Use, in addition to our Privacy Policy governing how we handle your personal data. If you don't agree to them, please don't place an order online — you're still welcome to order with a member of staff in person.

3. Placing an order

Orders are placed through our website, either for collection at a time you choose or for service at your table if you're ordering from within one of our venues. You'll need to give us your name and a contact number so the kitchen can prepare and identify your order; your email address is optional and, if given, is used only to send you an order tracking link.

You're responsible for checking your order — items, quantities, and any modifiers or notes — before paying. If you spot a mistake, please tell a member of staff straight away, ideally before we start preparing it.

4. Order acceptance and availability

All orders are subject to availability. Menu items, prices, and opening times may change without notice, and we reserve the right to refuse or cancel an order — for example if an item has sold out, if we're unable to fulfil it within a reasonable time, or if we suspect fraudulent use of a payment card. If we cancel an order after payment has been taken, we'll refund you in full.

A contract between us for the items ordered is formed once your payment has been successfully processed and your order has been accepted into our system — not at the point you submit your card details.

5. Prices and payment

All prices are shown in pounds sterling (GBP) and, where applicable, include VAT at the rate in force at the time of your order. Payment is taken in full at the time you place your order, via the payment method you select at checkout.

6. Card payments and data security

Card payments are processed for us by Square, a regulated payment service provider. When you enter your card details at checkout, they're sent directly and securely from your device to Square — they never pass through or get stored on our own servers, and we never see or hold your full card number. This checkout is secured using industry-standard encryption (TLS) and Square's systems are PCI-DSS compliant, the industry standard for handling payment card data safely.

We may use fraud-prevention checks provided by Square as part of processing your payment. If a payment is declined or flagged, we may contact you to verify the order before proceeding.

7. Order confirmation and tracking

If you give us your email address, we'll send you a confirmation email with a link to a live order-tracking page so you can see when your order has been received, is being prepared, and is ready. This link is unique to your order — please don't share it if you'd rather keep your order details private.

8. Cancellations, changes and refunds

Because our food and drink is made fresh to order and intended for immediate consumption, the statutory 14-day "cooling-off" cancellation right under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 does not apply — this reflects the standard exemption for goods made to a customer's specification and goods that are liable to deteriorate rapidly.

That said, if you need to cancel or change an order, contact a member of staff or use our contact form as soon as possible. We'll do our best to accommodate changes or offer a refund if we haven't yet started preparing your order. If something you receive is wrong, faulty, or not as described, see "Your consumer rights" below — those statutory rights aren't affected by this section.

9. Allergens and dietary information

We take allergen information seriously, but recipes, suppliers, and stock can change, and cross-contamination is possible in our kitchen. If you have a food allergy or intolerance, please tell a member of staff before ordering — don't rely solely on menu descriptions or item names shown online. Allergen information is available on request in line with Food Information Regulations 2014 and the requirement to declare the 14 major allergens.

10. Your consumer rights

Nothing in these terms affects your statutory rights as a consumer under the Consumer Rights Act 2015. In short: what we supply must be of satisfactory quality, fit for purpose, and as described. If it isn't, you're entitled to a repeat item or a refund, as appropriate — please raise this with us as soon as you can, ideally on the day, given the perishable nature of food and drink.

11. Our liability

We're responsible for loss or damage you suffer that's a foreseeable result of us breaking these terms or acting negligently, but we're not responsible for loss or damage that isn't foreseeable, or for indirect losses (such as loss of income) that aren't a foreseeable result of us doing something wrong. Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that can't lawfully be excluded or limited under English law.

12. Privacy and your data

We collect the name, contact number, and (optionally) email address you give us at checkout to fulfil and track your order, in line with UK GDPR and the Data Protection Act 2018. We don't collect or store your card details ourselves — see "Card payments and data security" above.

We also keep a customer profile of these details in our point-of-sale system (Square) so we have a record of your order history with us — for example if you query a past order, or if we introduce a loyalty scheme in future that you can join using the same details. You can ask us to update or delete this profile at any time using the contact details below. For full details of what we collect, why, and how long we keep it, see our Privacy Policy.

13. Complaints and dispute resolution

If something's gone wrong, please get in touch first via our contact form or hello@normanscoffee.co.uk so we can try to put it right directly. If we can't resolve a dispute between us, you may be entitled to refer it to an independent Alternative Dispute Resolution (ADR) provider [name a specific ADR body once you've chosen one, if you intend to participate in ADR].

14. Changes to these terms

We may update these terms from time to time, for example to reflect changes in the law or how we operate. The version in force at the time you place an order is the one that applies to that order. We'll update the "last updated" date above whenever we make changes.

15. Governing law

These terms are governed by the law of England and Wales. Any dispute will be subject to the non-exclusive jurisdiction of the courts of England and Wales, without affecting any mandatory consumer protections that apply in your country of residence.
